In conducting the annual inventory, departments may use this form to submit information that is not practical to correct on the computer printout.
Only class codes established by the PMO may be used. Class codes are available in the on-line reference file of the computerized Property Control System. If additional codes are required, departments may request them from the PMO.
Enter all tag numbers found on the property in the appropriate column. "New Property Control Number" tags are rectangular. "Old Property Control Number" tags were round.
If more than one line is needed for an item, enter a check mark in the remarks column and make notes on the back of the form. Be sure to indicate the line number you are commenting about, e.g.,
Line 7 -- this item is on loan to Department X. NOTE:
See Section 3-3 on Loaned Property. It is vital that departments account for items that are on loan to another division or department.
Every Property Custodian or employee signing an inventory report must keep an up-to-date file of the inventory they have located. The CPI form is in carbon-duplicate sets for this purpose.
