    How do I get a new phone service?
    • GCI is the manditory wireless provider for core areas, and prefered provider for non-core areas. For data plans and other information click here
    • File waiver for non-GCI devices.
    • Review and sign Department electronic appropriate use and security forms (varies by department).
    • Department approval for mobile electronic device/smartphone (varies by department).
    • Procurement, administrative, or other staff person who usually configures phones/makes purchases files SDM for new phone service.
    • Procurment, administrative, or other staff person makes purchase/updates inventory in IRIS per department policy/procedure.

    How do I Renew/Upgrade a phone service?
    • Identify replacement phone/pad/tablet and vendor
    • GCI is the manditory wireless provider for core areas, and prefered provider for non-core areas. For data plans and other information click here

    • Procurment, administrative, or other staff person makes purchase/updates inventory in IRIS per department policy/procedure.
    How do I cancel services (voice and/or data plan)?
    • Via your procurement process/persons file a cancellation of service SDM referencing the number to be disconnected.
      * You, the procurement staff, or accounting staff, MUST file a SDM to remove the number from tracking systems and to complete the cancellation of the account or you may incure ongoing monthly charges*.
    • Mark number and asset as surplused in SDM and IRIS (if entered into IRIS).

Security

    Requirements
    • Turn on 4 digit PIN, at minimum. Some devices' advanced security do not work with 4 digit pin minimum. Facelock is not a valid security option at this time.
    • Turn on encryption if not set by default (usually 4 digit pin triggers encryption).
    • Turn on 2 minute screen lock/screen off if default is not already set.
    • Turn off launch screen apps that bypass pin (all devices).
    • Turn off automatic download of SMS/MMS (Android devices).
    Recommendations
    • Turn on lost/stolen phone services (differs from vender to vendor).
    • Familiarize yourself with how to wipe your phone using Microsoft OWA/webmail.
    • Turn off WIFI password sharing (All devices, particularly windows 10 devices).

What do I do if a device is Lost or Stolen?

  • Use vendor provided locate / disable software or website. (http://www.apple.com/icloud/find-my-iphone.html)
  • Call your Local IT Department.  Perform a Wipe Device in OWA>Option>Phone (http://webmail.alaska.gov) if able.
  • Change your Exchange/SOA account password.
  • File an SDM ticket at http://doa.alaska.gov/ets/serviceDesk/
  • Complete the SOA Property Control Form. (http://doa.alaska.gov/dgs/property/manual/02_627.htm)

Surplus and/or Destruction

Please treat all devices as if they were a laptop or desktop computers.  If your device doesn’t have a native DOD approved secure wipe function, doing a factory wipe 3 times is adequate.  If not, physical destruction of the device is required.  See Media Disposal Assurance Form. (http://doa.alaska.gov/dgs/property/pdf/Media%20Disposal%20Assurance%20Form.pdf)  SOA, DOA, ETS does have a media destruction devices (crushers) in our datacenters.

  • Per ISP-143 the following mobile devices (but not limited to) should be considered a laptop or desktop computing device and wiped/media destroyed: pads, tablets, cellphones, smartphones, netbooks, other devices with data connectivity and/or storage.
    • If your device doesn't have a native DOD approved secure wipe function, doing a factory wipe 3 times is adequate. If not, physical destruction of the device is required.
    • SOA, DOA, ETS are equipped with media destruction devices (crushers, punchers, wipers, shredders) in our regional datacenters.

  • Before destroying or surplusing a device, please see above instructions how to cancel data and/or voice plan attached to device and remove it from tracking/billing systems.
