How to Complete a Timesheet for Office Closures and Early Release
Due to inclement weather or uninhabitable facilities
Timesheet Reporting for Early Release / Office Closure
Employees will report the time worked using the 100 (regular hours) payroll code and enter their start and stop times for those hours. They will then need to use the 100W (Office Closure) payroll code to report the regular hours they were unable to work due to the office closure.
Leave Reported during an Early Release / Office Closure
An Early Release/Office Closure does not alter leave requests for employees who were on scheduled leave for this time (i.e. out on vacation/sick leave). In this case, leave slips for the absence should still be submitted and reported on the timesheet.
Leave Ineligible Employees
Employees who are ineligible for leave (temporary/nonpermanent) are only paid for hours actually worked and are not paid for an Early Release/Office Closure.
Notes
- When an Early Release/Office Closure occurs, a leave slip is still required if the employee arrived late, does not report to work that day, or chooses to leave prior to the release/closure. If they did not report to work that day, the leave slip request will be for the entire day.
- Early Release/Office Closure hours are reported as 100W Office Closure hours and do not count towards the OT threshold.
